Commercials, short films, galas, trade shows and campaigns since 2008. At Prolific my projects held a 42% average margin on $15.8M of work while on-time delivery went from below 50% to 92%. Before that, six years running my own event design business.

Cue 01, the board

Below half on time. Then 92%.

On-time delivery in Prolific's special projects division sat below 50%. So I wrote the standard operating procedures and the project workflows, then rolled them out across the corporate structure: the division's 17 projects plus roughly 15 a year for the sister agencies.

After. Intake is fixed, every job has a workback schedule, and approvals run on a known cadence. Slips still happen. They just stop being the norm.

Fixed intake first

Built the marketing request and tracking system that sorted intake, prioritization and resource allocation. On-time project delivery rose 32%.

iDonate, 2020 to 2021

Rebuilt the schedules

Rebuilt the schedules behind a marketing automation migration and pulled go-to-market timelines in by 20%, with no interruption to the live platform.

Made it the standard

Wrote the SOPs and workflows, then implemented them across the division and the sister agencies. Below 50% on time became 92%.

Every production estimate at Prolific was mine: sourcing the vendors, setting the numbers and holding internal margin on each job. Across $15.8M of projects the average came in at 42%, clearing the company average and the 30 to 35% stretch goal every year.

Concurrent jobs ranged from $10,000 to $2.5M. The margin held at both ends.

Most companies keep these in four different departments. My career has run through all of them, which is why the estimate, the schedule and the pipeline number tend to agree with each other.

Cue 04, one night
The kitchen caught fire during setup. The reception still went ahead.
  1. Find out what is left. Worked with the venue general manager, the head chef and the fire department to establish what was still usable.
  2. Rebuild the menu. Reworked it inside the guests' dietary constraints, pulling in vendor relationships to cover the gaps.
  3. Keep the client whole. Handled every client conversation and the compensation, and delivered the event on schedule.

The margin and the deadline, held at the same time.

My first production company was my own. For six years (it's all in the) Details designed and ran events of up to $425,000, with the design, the day, the annual advertising budget and the revenue goal all on my desk.

From there the work moved indoors and got bigger: CES and CTIA for Samsung, campaign operations for FedEx Office and a run of B2B software companies, and then four years producing commercials, films and galas at Prolific. Each stop added a system: an intake queue at Sabre, a rebuilt schedule at iDonate, a full set of SOPs at Prolific that turned on-time delivery from a coin toss into the default.

Today I run growth marketing on contract for a B2B software company, and I am looking for my next producer or project management role, in-house or agency side.
